Bank Permissions Made Easy
A user-friendly system for Executives to manage bank account permissions.

Overview
Managing permissions for company bank accounts in today's digital world can be a real maze. With growing teams and complex online banking features, ensuring the right employees have the right access can become a time-consuming task.
This case study dives into a system designed for a major financial company to address these issues. Focusing on making it easier to control who has access to the company's bank account online.
The team
The clients - a major financial company (PM + his team leader)
UI/UX - Me, with a fellow team designer and guidance from my design team leader and VP product

The Problem
Adding to the challenge of managing complex permission structures, this large finance company previously relied on a
manual process. Employees had to physically visit the bank and complete lengthy, handwritten forms to define access levels. This time-consuming and error-prone approach created bottlenecks, frustrated employees, and increased the risk of mistakes.

To understand user needs, I collaborated with the client's PM who had direct contact with the client base

Who is this system for?
This system is designed for busy executives (or maybe their feline overlord at home!). Executives who wear multiple hats and need an easier way to manage who has access to the company's bank account.

Change of platform
As I mentioned earlier, the users were used to a tiering manual process, so now we need to remember that anything long or unnecessary has the potential to change in the newly digital atmosphere!

Different Users, Different needs
The system needs to support all types of users - both those who want to add/remove a user as quickly as possible and both those who like to slow down, and change more complex settings.
So, how did we help diverse users navigate through the permission maze?
First, we'll have an overview of the process and then dive in. So to help users navigate the maze, we decided to create a wizard with different stages, when each stage focuses on a different part of the permission process.

Steps 01 and 02 (Personal Details and permissions)

The 1st step handles the personal details of the new users. This stage also gives users the options for a fast or slow route - choosing all account for permissions or entering and choosing specific ones

The 2nd step handles the permissions themselves: there are pre-made permission packs for the user - the "fast route", and a customizable pack - the "slow route"
The most complex part I would like to dive into is the 3rd stage - Signature groups and transaction permissions
Online banking permissions are tiered through signature groups. Groups with higher authority can approve larger transactions.

Like I've explained previously, in this stage, we continue to give two options - a quick route (continue with the existing settings) or a slower route (update the current settings)

Signature Groups - Existing settings
Existing settings show the user what are the current settings.
Three situations needed to be addressed:

One signature group exists, the user will be added to the existing group

every user is allowed to preform transactions

Updating the current settings let's the user choose from 3 different options (according to what he's familiar with from the manual process)

How did we create an easy solution for a complex mode like adding and editing signature groups?
Using Simple UX elements like a multi-selection dropdown, and chips, we created an easy "playing field" for the executives. On the right, using the dropdown it's possible to add or remove users just by ticking a checkbox
